Functions and Hire Conditions
Use of Echuca Club Facilities conditions and rules from Oct 2025.
Under certain conditions, Echuca Club facilities may be hired for the conduct of private functions. These facilities may include celebratory parties, formal dinners, corporate functions, trade displays, exhibitions, seminars and learning workshops, etc.
The full facilities of the Club may be made available upon request and could include the kitchen, dining room, bar area, billiard room.
Temporary parking for loading and unloading of equipment is available adjacent to the kitchen and ample guest parking is available in front of and opposite of the Club on Murray Esplanade.
In all cases, functions are to be booked through the Functions Co-ordinator dates to be checked prior with the Club Stewart to ensure they are available.

Payment is required for the hire of the Club rooms (if applicable) and cleaning fee to confirm the booking to ensure the dates are set in the Club calendar.
The hirer is responsible for any damage caused either to Furniture, windows, carpet etc.
In the case of catered functions, a maximum number of 240 guests is permissible under the terms of the Club license. For a seated dinner the dining area seats 65 comfortable. If you have larger numbers, it would be best to have 2 sittings. Service to those guests would be the responsibility of the hirer, in conjunction with the caterer to the function.
Entry to the Echuca Club
Where possible the Hirer of Club facilities is required to provide the Club Steward with a list of persons invited to the function prior to entry. This is to ensure that maximum numbers are not exceeded and that only those persons who are “bona fide” guests or clients are permitted to enter. Ideally the hirer should nominate one person who will ensure that all persons wishing to enter at the time of the function are genuine guests/clients and that they conform to accepted standards of behaviour. In cases where it is not possible to publish list of guests, have some visible form of identification to show before entry is permitted, or that the nominated representative or security guard (Hirer responsibility and cost) is stationed at the Club entrance to screen persons wishing to enter or re-enter as required.
NB – For minors Wrist Bands are required, for some functions such as 21sts Car Park gates are to be closed during function – Please discuss with Club as Our staff are not responsible for the checking of invited guests to an event
The Licensee requires that the Club premises should cease bar service at 11.30pm and for guests to vacate the club by 12.30am. Special cases for extensions beyond that time would be the subject of application of Licensing authorities and an additional fee.
Beverages
Beverages will be provided by Echuca Club staff within the rules of responsible service of alcohol. The Club is a fully licensed premises and there are no provisions for BYO. Whilst the Club maintains a large cellar, special requirements for beverages should be the subject of negotiation with sufficient notice given for particular beverages and large quantities. In the event that BYO appears the function will cease and all guests are required to leave the premises.
Catering
The Echuca Club kitchen is registered as commercial kitchen and is regulated in its use. A high standard of cleanliness is maintained and hirers are expected to respect this standard. Food preparation, cooking and serving is to be undertaken by staff who have the appropriate OH&S accreditation for food handling. This accreditation must be confirmed with the Club before the function.
When food is prepared and finished off site, the Club kitchen has adequate reheating and chilling facilities. No accreditation is required in this case.
To maintain the OH&S requirements, a cleaning fee is charged. (See table of fees page 2)
Where the kitchen is used solely for reheating or chilling pre-prepared food, the cleaning of the facility will rest with the hirer.
The Echuca Club has close affiliations with a number of professional caterers and can make recommendations to suit hirer’s requirements. The hirer of the facilities will remain responsible for any issues resultant from consumption of food on Club premises.
Decorations
Decorations etc, are permitted provided that adequate care is taken to respect the unique fabric of the Club building and furniture. No screws, nails or similar fixtures are allowed. It is recommended that displays or decorations should be free standing where possible.
Electrical Equipment
Hirers wishing to operate Sound or Lighting equipment should give prior notice to the Management Committee at the time of arranging the hire to ensure that such equipment will be compatible with the electrical circuitry within the Club building.
Security
Whilst all normal precautions are taken to secure the building during silent hours, the Echuca Club cannot accept responsibility for loss of or damage to hirers property, either during daily use or after closing. This is particularly relevant to Exhibitions or Trade Displays, which may be conducted over a number of days
Similarly, the hirer is to take responsibility for hanging or displaying property for the purposes of display or sale. Whilst Club staff or members may offer to assist with erection or dismantling of displays, the Club cannot take responsibility for any damage incurred and it is recommended that intending hirers undertake suitable insurance of their goods during their use of Club facilities.
Arrangements for hire of Club facilities for special functions where such goods or property is to be left in the Club, should be negotiated at the time of booking to ensure that mutual understanding of responsibility is clear. Such negotiation would normally be undertaken with the Secretary of the Management Committee.
Confirmation of Booking
The hirer will be required to sign the form to indicate that the hire is to proceed on the nominated date(s) and that the conditions and rules of hire are understood and accepted.
